Job Description
The Purchase Executive / Sr. Executive will be responsible for handling end-to-end procurement processes including vendor sourcing, purchase planning, negotiation, order placement, and follow-up for timely deliveries. The involves maintaining cost efficiency, ensuring quality compliance, and coordinating with internal departments to meet operational requirements.
Roles & Responsibilities:
- Handle end-to-end procurement of raw materials, packaging materials, consumables, equipment, and services.
- Coordinate with internal departments to understand purchase requirements and timelines.
- Source potential vendors and obtain quotations for comparison and evaluation.
- Negotiate pricing, payment terms, delivery schedules, and commercial conditions with suppliers.
- Prepare and process purchase orders in line with approved requirements.
- Follow up with vendors to ensure timely delivery of materials and services.
- Monitor material availability and coordinate to avoid stock-outs or production delays.
- Evaluate vendor performance based on quality, cost, service, and delivery adherence.
- Maintain strong vendor relationships and develop alternate sourcing options.
- Ensure purchased materials meet quality specifications and compliance requirements.
- Coordinate with stores, QA, production, and finance teams for smooth procurement operations.
- Verify purchase-related documentation including quotations, invoices, and delivery challans.
- Maintain accurate procurement records, purchase registers, and supplier databases.
- Track open purchase orders and ensure timely closure of pending orders.
- Monitor market trends, price fluctuations, and sourcing opportunities for cost optimization.
- Support annual rate contracts, vendor agreements, and commercial negotiations.
- Ensure compliance with procurement policies, SOPs, and audit requirements.
- Prepare MIS reports related to purchases, savings, vendor performance, and pending orders.
- Assist during audits, inspections, and documentation reviews.
- Identify opportunities for process improvement and procurement efficiency.
- Maintain confidentiality, professional ethics, and accuracy in all procurement activities.
