Job Description

The Front Office Executive / Receptionist will be responsible for welcoming and assisting patients and their attendants, managing appointments, handling billing, and ensuring overall customer satisfaction. The involves acting as the first point of contact, coordinating with internal departments, and maintaining efficient front office operations. The candidate will ensure quick turnaround time (TAT) for patient handling, accurate billing, and seamless communication while adhering to organizational standards and SOPs.



Roles & Responsibilities:

  • Greet and welcome patients and visitors in a courteous and professional manner.
  • Act as a help desk for patients and attendants, addressing queries and providing accurate information.
  • Ensure fastest TAT for patient registration, billing, and service (within defined timelines).
  • Manage appointment scheduling, rescheduling, and confirmations efficiently.
  • Ensure timely and accurate delivery of reports to patients at any time of the day.
  • Handle billing processes accurately, including cash, card, and digital transactions.
  • Manage discount cases discreetly while maintaining confidentiality and compliance.
  • Prioritize and assist medical emergency cases promptly and efficiently.
  • Ensure no patient is refused service and handle all cases with professionalism.
  • Maintain high-quality standards in billing, appointment handling, and customer service.
  • Follow SOPs and organizational protocols strictly.
  • Ensure front office readiness, including system availability and resource management.
  • Maintain accurate patient records, registration details, and documentation.
  • Coordinate with clinical and diagnostic departments for smooth patient flow.
  • Handle and update inventory records and front office consumables in the system.
  • Handover daily collections and required documents for corporate patients to the accounts department.
  • Address patient concerns, complaints, and escalate issues when necessary.
  • Maintain cleanliness, organization, and a welcoming environment at the reception area.
  • Assist in managing patient queues and minimizing waiting time.
  • Handle emergency situations calmly andect patients appropriately.
  • Ensure confidentiality of patient information and maintain professional ethics.
  • Support administrative and coordination tasks as required.
  • Participate in training programs and continuous skill development.
  • Maintain daily reports, logs, and front office records.
  • Coordinate with insurance/TPA desks when required for patient processing.
  • Uphold service excellence and contribute to a positive patient experience at all times.
