Stores Manager

The Stores Manager will be responsible for managing the hospital’s inventory systems, ensuring proper storage, tracking stock levels, and coordinating with departments for timely supply of materials. This requires strong organizational skills, analytical ability, and experience in healthcare supply chain management.

Roles and Responsibilities:

• Manage day-to-day operations of the hospital stores and inventory system.
• Maintain accurate records of stock levels, receipts, issues, and balances.
• Ensure timely procurement and availability of medical supplies, consumables, and equipment.
• Coordinate with purchase and procurement teams for ordering and vendor management.
• Monitor stock levels and initiate reordering to avoid shortages or overstocking.
• Implement inventory control systems such as FIFO/FEFO to minimize wastage.
• Ensure proper storage conditions for medical and non-medical items as per guidelines.
• Track expiry dates and ensure removal of expired or near-expiry items.
• Coordinate with pharmacy, OT, laboratory, and other departments for supply requirements.
• Conduct regular stock audits, physical verification, and reconciliation of inventory.
• Maintain documentation for all transactions and ensure audit readiness.
• Ensure compliance with hospital policies, safety standards, and regulatory requirements.
• Monitor vendor performance and maintain relationships with suppliers.
• Optimize inventory levels to reduce costs while maintaining service efficiency.
• Supervise store staff and ensure adherence to processes and discipline.
• Implement digital inventory systems or ERP tools for efficient tracking.
• Ensure proper labeling, categorization, and organization of stored items.
• Handle emergency supply requirements and ensure quick response.
• Maintain cleanliness, safety, and organization within the store area.
• Prepare and submit inventory reports, consumption analysis, and stock summaries.
• Identify cost-saving opportunities and process improvements in supply chain management.
• Coordinate with finance department for invoice verification and stock valuation.
• Ensure proper handling and disposal of obsolete or damaged items.
• Train staff on inventory management practices and hospital procedures.
• Contribute to improving overall efficiency and reliability of hospital supply operations.
