Front Office Executives

The Front Office Executive will play a key in managing the hospital’s reception area, coordinating patient flow, and ensuring seamless communication between patients and hospital departments. This requires strong communication skills, organizational ability, and a patient-centric approach.

Roles and Responsibilities:

• Greet and assist patients, visitors, and attendants in a courteous and professional manner.
• Handle patient registration, admission, and appointment scheduling processes.
• Manage front desk operations including answering calls, emails, and walk-in inquiries.
• Provide accurate information regarding hospital services, departments, and doctors.
• Coordinate with clinical and non-clinical departments for smooth patient flow.
• Maintain and update patient records and registration details in the system.
• Handle billing coordination for OPD services and guide patients accordingly.
• Ensure proper queue management and minimize patient waiting time.
• Address patient queries, concerns, and complaints effectively and escalate when required.
• Maintain confidentiality of patient information and records.
• Support admission and discharge processes in coordination with billing and ward teams.
• Ensure a clean, organized, and welcoming reception area at all times.
• Manage appointment reminders and follow-ups with patients.
• Coordinate with insurance and billing teams for basic patient guidance.
• Handle cash transactions and maintain records if required.
• Assist in emergency situations by guiding patients to the appropriate departments.
• Maintain daily reports of patient footfall, appointments, and front desk activities.
• Follow hospital policies, procedures, and service standards.
• Work in rotational shifts including weekends and holidays.
• Demonstrate excellent communication, interpersonal, and problem-solving skills.
• Ensure a positive patient experience through efficient service delivery.
• Support administrative tasks and documentation as required.
