Sr. Executive / Assistant Manager Procurement

The Sr. Executive / Assistant Manager – Procurement will be responsible for end-to-end procurement activities including sourcing, vendor management, purchase planning, and cost optimization. The involves close coordination with production, QA, QC, warehouse, and finance teams to ensure uninterrupted supply of raw materials, packing materials, and services while maintaining compliance with quality and regulatory requirements.

Roles and Responsibilities:

• Manage end-to-end procurement activities including sourcing, vendor selection, negotiation, and purchase order execution.
• Ensure timely procurement of raw materials, packing materials, engineering items, and consumables as per production and project requirements.
• Develop and implement procurement strategies to optimize cost, quality, and delivery timelines.
• entify, evaluate, and onboard new vendors while maintaining a strong and reliable supplier base.
• Conduct vendor audits, performance evaluations, and maintain approved vendor lists in coordination with QA.
• Negotiate pricing, payment terms, contracts, and agreements to achieve cost savings and favorable terms.
• Monitor market trends, pricing fluctuations, and supply risks to make informed procurement decisions.
• Coordinate with planning and production teams to forecast material requirements and avoid stock-outs or overstocking.
• Ensure compliance with cGMP requirements while procuring materials from approved and qualified vendors.
• Track purchase orders, follow up with vendors for timely delivery, and resolve any supply-related issues.
• Maintain accurate procurement records, documentation, and reports as per company policies and audit requirements.
• Collaborate with the quality team to ensure materials meet required specifications and handle rejection or return of non-conforming materials.
• Manage inventory levels in coordination with the warehouse team and optimize stock holding.
• Support cost control initiatives andentify opportunities for value engineering and cost reduction.
• Ensure proper documentation for procurement transactions including quotations, comparisons, purchase orders, and invoices.
• Coordinate with finance for timely processing of vendor payments and reconciliation of accounts.
• Handle import procurement activities including coordination with logistics, customs, and regulatory requirements if applicable.
• Participate in cross-functional meetings to align procurement activities with business objectives.
• Ensure compliance with company policies, statutory regulations, and ethical procurement practices.
• Support internal and external audits by providing procurement-related documentation and justifications.
• Drive continuous improvement initiatives in procurement processes, systems, and supplier performance.
• Maintain strong communication and relationships with internal stakeholders and external vendors.
• Monitor procurement KPIs such as cost savings, vendor performance, lead time, and service levels.
• Ensure risk mitigation strategies are in place for critical materials and suppliers.
• Train and guide junior procurement staff and support team development.
