Job Description
The Customer Support Executive (Tender) will be responsible for handling tender documentation, customer communication, order coordination, and support activities related to government and institutional business. The involves coordinating with internal departments, ensuring timely submission of tender documents, maintaining records, and supporting smooth execution of tender operations. The candidate should possess strong communication, organizational, and coordination skills.
Roles & Responsibilities:
- Manage and support tender-related documentation and submission activities.
- Coordinate with government institutions, hospitals, distributors, and customers regarding tender requirements.
- Prepare, compile, and review tender documents, quotations, and compliance records.
- Monitor tender portals and track upcoming opportunities, submission deadlines, and status updates.
- Coordinate with sales, finance, regulatory, QA, and supply chain teams for required tender documentation.
- Ensure timely submission of tenders, bids, and supporting documents.
- Maintain accurate records of tender participation, approvals, contracts, and correspondence.
- Handle customer inquiries, order status updates, and tender-related communication professionally.
- Support order processing, dispatch coordination, and fulfillment activities for tender business.
- Track payment status, outstanding invoices, and customer documentation when required.
- Prepare reports, MIS data, tender summaries, and management updates regularly.
- Ensure compliance with tender terms, company policies, and regulatory requirements.
- Coordinate renewal and extension activities for existing contracts and tender agreements.
- Resolve customer concerns and provide timely support for operational issues.
- Maintain confidentiality and proper handling of tender and business information.
- Assist in preparing presentations, business proposals, and tender analysis reports.
- Support audit and documentation verification activities related to tender operations.
- Coordinate with logistics and warehouse teams for smooth delivery execution.
- Contribute to process improvement initiatives for tender management and customer service operations.
