Ward Secretary

The Ward Secretary will be responsible for supporting ward administration, patient coordination, documentation, communication, and smooth departmental workflow. This requires good communication skills, computer knowledge, hospital experience, and the ability to coordinate with doctors, nurses, patients, billing, pharmacy, and diagnostic teams. The candidate will help maintain accurate ward records, support admissions and discharges, manage patient-related documentation, and improve ward-level operational efficiency.

Roles & Responsibilities

• Manage ward-level administrative activities and support smooth daily operations.
• Maintain patient files, admission records, discharge documents, investigation reports, and ward registers.
• Coordinate with doctors, nurses, billing, pharmacy, laboratory, radiology, and housekeeping teams.
• Assist in patient admission, transfer, discharge, and documentation processes.
• Update patient details, service requests, investigation orders, and ward-related information in the system.
• Communicate with patients and attendants regarding basic ward processes and service coordination.
• Track pending reports, doctor instructions, discharge summaries, and billing-related requirements.
• Support nursing staff by arranging forms, files, reports, and necessary patient documents.
• Ensure timely communication between ward teams and other hospital departments.
• Maintain confidentiality of patient records and hospital documents.
• Prepare ward reports, patient lists, occupancy updates, and routine administrative summaries.
• Handle phone calls, interdepartmental communication, and basic patient queries professionally.
• Monitor availability of ward stationery, forms, files, and basic administrative materials.
• Escalate delays, missing documents, or coordination issues to nursing in-charge or management.
• Contribute to organized ward workflow, timely documentation, and better patient service experience.
