Job Description

Detail-oriented Senior Officer - Documentation responsible for managing, reviewing, and maintaining organizational documents, records, and compliance-related documentation in regulated environments. Skilled in document control, SOP management, record maintenance, data accuracy, and regulatory compliance. Adept at ensuring proper documentation practices, version control, audit readiness, and coordination with cross-functional teams to support operational efficiency and quality standards.


Roles & Responsibilities

  • Manage preparation, review, issuance, and archival of controlled documents.
  • Maintain SOPs, protocols, manuals, batch records, and compliance documentation accurately.
  • Ensure document control practices comply with regulatory and organizational standards.
  • Monitor document revisions, version control, and approval workflows.
  • Coordinate with departments for timely collection and updating of documentation.
  • Ensure proper filing, indexing, and retrieval of physical and electronic records.
  • Support audit and inspection readiness by maintaining accurate documentation systems.
  • Review documents for completeness, accuracy, and formatting compliance.
  • Track document lifecycle activities including issuance, obsolescence, and retention.
  • Maintain confidentiality and security of sensitive organizational records.
  • Assist in implementation and maintenance of electronic document management systems.
  • Support deviation, CAPA, and change control documentation activities when required.
  • Prepare documentation status reports and compliance trackers for management review.
  • Train employees on documentation practices, SOP adherence, and record management procedures.
  • Identify process improvement opportunities to enhance documentation efficiency and compliance.
