Receptionist

The Receptionist will be responsible for managing the front desk, patient greeting, registration support, appointment coordination, call handling, enquiry response, and patient guidance at Vivanta Critical Care Hospital, Chhindwara. This requires Graduate qualification with Computer Diploma and 2–4 years of experience in reception, front office, or patient service operations.

Roles & Responsibilities

• Welcome patients, attendants, visitors, and guests politely at the reception desk.
• Handle phone calls, walk-in enquiries, appointments, and basic service guidance.
• Provide information about doctors, departments, timings, services, and hospital process flow.
• Support patient registration, OPD coordination, billing guidance, and report collection process.
• Maintain visitor records, appointment registers, enquiry logs, and patient information accurately.
• Coordinate with front office, OPD, billing, diagnostics, nursing, and patient care teams.
• Guide patients to departments, doctors, billing counters, diagnostic areas, and waiting zones.
• Manage waiting area communication and help reduce patient confusion or delays.
• Handle patient queries politely and escalate unresolved issues to seniors.
• Use hospital software, computer systems, telephone, and office tools efficiently.
• Maintain confidentiality of patient information and hospital records.
• Keep reception area clean, organized, and professionally managed.
• Support admission or discharge coordination when assigned.
• Maintain calm and respectful communication during busy hours.
• Ensure smooth, helpful, and patient-friendly reception services.
