Front Office Executive

The Front Office Executive will be responsible for handling all front desk activities including greeting visitors, answering calls, managing appointments, providing accurate information, and coordinating communication across departments. This requires excellent interpersonal skills, a positive attitude, and the ability to multitask in a fast-paced healthcare environment.

Roles & Responsibilities

• Greet and welcome patients, visitors, and attendants in a courteous and professional manner.
• Handle incoming and outgoing calls, emails, and inquiries efficiently.
• Schedule, confirm, and manage patient appointments and doctor consultations.
• Register patients and maintain accurate records in the hospital system.
• Provide clear and accurate information about hospital services and departments.
• Guide patients and visitors to appropriate locations within the hospital.
• Maintain a clean, organized, and professional reception area.
• Coordinate mail, courier services, and internal documentation flow.
• Manage visitor logs and ensure adherence to entry and exit protocols.
• Handle patient queries, concerns, and complaints with prompt resolution.
• Ensure effective queue management and minimize patient waiting time.
• Coordinate with billing, TPA, and administrative teams for smooth processes.
• Assist in admission and discharge processes when required.
• Support emergency situations byecting patients appropriately.
• Maintain confidentiality of patient and hospital information at all times.
• Monitor and replenish front office supplies and materials.
• Maintain proper documentation of daily front office activities.
• Provide a high level of customer service to enhance patient experience.
• Follow hospital policies, SOPs, and service quality standards.
• Collaborate with internal teams for smooth operational workflow.
• Perform additional duties as assigned by management.
