Reception Staff

Reception Staff is responsible for managing front desk activities, greeting patients and visitors, handling inquiries, coordinating appointments, maintaining records, and supporting smooth patient flow. The requires excellent communication, computer knowledge, patient coordination skills, and a service-focused attitude. Reception Staff acts as the first point of contact and helps create a positive hospital experience for patients and visitors.

Role & Responsibilities

• Welcome patients, visitors, doctors, and guests in a polite and professional manner.
• Handle front desk inquiries, phone calls, appointment requests, and patient guidance.
• Register patients and maintain accurate demographic, contact, and visit details.
• Coordinate OPD appointments, doctor schedules, patient queues, and consultation flow.
• Guide patients to departments, billing counters, diagnostic areas, wards, or concerned staff.
• Maintain reception records, appointment registers, visitor details, and patient documentation.
• Communicate clearly with patients regarding hospital services, timing, basic process, and required documents.
• Coordinate with doctors, nursing staff, billing, laboratory, pharmacy, and administration teams.
• Manage patient waiting area discipline, comfort, and basic information flow.
• Handle basic complaints or queries and escalate unresolved issues to seniors.
• Maintain confidentiality of patient information and hospital records.
• Ensure reception desk cleanliness, professional appearance, and availability of required stationery.
• Support admission, discharge, report collection, and patient follow-up coordination when required.
• Use hospital software or computer systems for data entry and patient record management.
• Maintain courteous behavior, patience, and professionalism during busy working hours.
